Case files: warnings, timeouts, kicks and bans

Every moderation action becomes a numbered case – with history, notes and revoking. Via command, in the dashboard or directly in Discord.

SetupCommandsDashboardModeration

Case files collect every moderation action on your server as a case with a running number (#1, #2, …). You can always see who was warned, timed out, kicked or banned, when, by whom and why – and edit or revoke cases later.

Cases come from different sources:

  • Command – e.g. /warn add, /timeout, /member ban
  • Dashboard – via “New case”
  • Report – when the team closes a report with “Warn” or “Timeout”
  • Escalation – automatically through escalation steps
  • Shield – timeouts, kicks and bans from the Shield
  • Directly in Discord – bans, unbans, kicks and timeouts done directly in Discord or with another bot (yurna needs “View Audit Log” for this)

Possible case types: warning, timeout, kick, ban, temporary ban, unban, note, trade ban and softban.

How to set it up#

  1. Open Dashboard → Moderation → Case files (/dashboard/<server>/fallakte).
  2. Switch to the Settings tab.
  3. Choose a Log channel – every new or revoked case is posted there.
  4. Check DM on punishment (default: on). The member then gets the reason, duration and warning points by DM – for kicks and bans before the action.
  5. Set after how many days warning points expire (default 90, 0 = never).
  6. Give yurna the Discord permissions it needs: Moderate Members (timeouts), Kick Members, Ban Members and View Audit Log. yurna’s role must be above the roles of the members you want to moderate.

Case files in the dashboard#

At the top you see the stats Total cases, Active sanctions, Open reports and Active escalation steps. Below are four tabs: Cases, Reports, Unban appeals and Settings.

  • Cases – all cases, newest first. Filter by search text (reason, #number or user ID), member, moderator, type, status, source and time range.
  • Open a case – shows the people involved, reason, duration, evidence (e.g. links to reported messages), internal notes and the history. You can change the reason, add notes for the team and revoke the case.
  • Revoke case – the case stays on record but no longer counts (neither do its points). If the sanction is still running, yurna also lifts it in Discord (removes the timeout or unbans).
  • New case – member ID, action (warning, note, trade ban, timeout, kick, temporary ban, ban), reason, warning points (0–100, default 1) and a duration where needed. The case is applied immediately. You can only pick timeout, kick and ban if you have the matching Discord permission.
  • A member’s record – the member profile in the dashboard shows all of that person’s cases, their active warning points, running sanctions and reports about and by them.

The former “Warnings” page is now part of case files: old links lead straight to the case list filtered to warnings.

What happens when you take action#

  1. yurna creates the case.
  2. The member gets a DM (if “DM on punishment” is on). Notes and unbans don’t send a DM.
  3. yurna applies the action in Discord.
  4. The case is posted in the log channel.
  5. If the case carries warning points, yurna checks the escalation steps.

If step 3 fails (missing permissions, role too low), the case is revoked automatically with a note – so no false record is left behind. yurna lifts temporary bans on its own when they expire, even if the bot restarted in between. A trade ban is a record-only entry and blocks trades with the Pokémon bot.

Commands#

CommandWhat it doesWho can use it
/warn addWarns a member with a reason; optional points (0–20, default 1)Manage Server
/warn removeRevokes a warning; id is the case number or the old warning IDManage Server
/warn listShows a member’s active warnings and warning pointsManage Server
/warn clearRevokes all of a member’s active warningsManage Server
/timeoutTimeout with minutes (1–40320, i.e. up to 28 days) and an optional reasonModerate Members
/untimeoutRemoves the timeout and marks running timeout cases as revokedModerate Members
/member banBans; optional reason and delete_days (delete messages from the last 0–7 days)Ban Members
/member tempbanTemporary ban with duration, e.g. 30m, 12h, 7d, 2wBan Members
/member unbanLifts a ban (user_id, optional reason)Ban Members
/member kickKicks a memberKick Members
/member historyCase history: active points, running sanctions, the last 15 casesModerators (see below)
/member noteInternal note about a member, no DMModerators
/member tradebanTrade ban, optionally with duration (empty = permanent)Moderators
/member case showShows a caseModerators
/member case reasonChanges a case’s reasonModerators
/member case revokeRevokes a case and lifts a running timeout or banModerators; for a running ban also Ban Members

“Moderators” means: Moderate Members, Manage Server, Kick Members or Ban Members.

Entering a duration: a plain number means minutes. Otherwise combine m, h, d and w, e.g. 1d12h. Temporary bans and trade bans last at most one year, timeouts at most 28 days.

Members can also right-click to Report message and Report user – see Reports.

Common problems#

  • “Revoked on record – Discord did not follow”: yurna lacks the permission or its role is too low. Check both and lift the sanction in Discord yourself if needed.
  • Bans made in Discord are missing from the record: yurna needs the “View Audit Log” permission.
  • /timeout doesn’t work: you can’t time out bots, yourself or the server owner. Your highest role and yurna’s must be above the member’s highest role.
  • /warn add on a bot: bots can’t be warned.

Tip

Use /member note or the notes in the dashboard for things the member shouldn’t see – such as “already warned verbally”.

Case files are included in every plan. Only the number of active escalation steps depends on your plan.
